Case Study: Turning Data Soup into Actionable Insights

The Challenge

Postpartum Support International (PSI) was drowning in what we like to call "data soup." Their HubSpot setup lacked structure, making it nearly impossible to generate meaningful reports, identify trends, or scale effectively. Their biggest challenges included:

  • Using a series of properties to manage yearly event data. Each year, they created a new set of properties to track event details—10 properties for 2022 events, 10 more for 2023, and so on. Not only was this time-consuming and inefficient, but it also made reporting across years impossible.
  • Storing key information in multi-line text fields, preventing structured reporting and automation.
  • Using Companies to track teams, which didn’t align with HubSpot’s data model.
  • Struggling to organize contacts, segment their audience, or track fundraising efforts effectively.

The Solution

To solve these challenges, we started by upgrading PSI to HubSpot Enterprise and restructured their database using custom objects for better data organization. Our key improvements included:

  • Segmenting contacts into Climb Leaders and Donors, improving audience targeting and communication.
  • Replacing the yearly event properties with custom objects for Climb Teams and Events, allowing them to track all events dynamically without needing new properties each year.
  • Implementing rollup reporting to track team and fundraising progress over time, enabling clear year-over-year analysis.

The Impact

Now, six months into our engagement, PSI’s data is structured, their reporting is clear, and their lead point of contact has gained back significant time that was previously spent managing inconsistent, messy data. With improved segmentation, tracking, and visibility into trends, PSI is now positioned to scale their impact and fundraising efforts more effectively.
